Book Fair
Organizing a Book Fair:
The media specialist schedules the book fairs with Scholastic in the summer once the school calendar has been finalized.There are usually two book fairs a year (one in the beginning of the year and one before summer).The media specialist also decides what type of book fairs the school will have; such as, traditional, buy one get on free, or warehouse.Scholastic, depending on the type of book fair, determines the percentage of profits.
Timeline:
Scholastic provides a timeline for organizing the book fair.Our media specialist has been running book fairs for so many years, that many of the suggestions she already has in place.
4 Weeks Out:Reserve space for the book fair, Meet with volunteers and assign responsibilities, Schedule family events, Create decorations and Signs.
3 Weeks Out:Confirm tax requirements and Meet with Volunteers to finalize the schedule.
2 Weeks Out:Hang banners and posters, Make book fair part of school announcements and Schedule sneak peeks for faculty.
1 Week Out:Send booklists home with invitation to the book fair, Set up classroom wish lists (we did not do this because of the economy this year), print credit card instructions and sales receipts, set up merchandize and decorate fair and put up directional arrows.
Fair Week:Promote the book fair daily through morning announcements, Meet with volunteers on product location and pricing, Start each day with a $50 cash drawer, Keep track of sales using daily sales report, Order more stock as needed and Balance the cash drawer and record revenue daily.
After Fair:Repack products and prepare inventory for pick-up, If taking book profit choose books before you pack, send in credit card transactions, Thank your volunteers, principal and teachers, Print invoice and customer rewards recap, Mail with payment to the address on the financial form, Complete the customer survey in the toolkit and Shop online to redeem your instructional resource vouchers.
Volunteers
Volunteers are an essential part of the media center.Our media specialist has a wonderful set of volunteers that she organizes to help run the book fair.I truly do not know how the book fair would run without them.She is very efficient with scheduling her volunteers and always makes them feel welcome in the media center.Because she is able to utilize volunteers so well, she is able to continue teaching resource classes.

Assist the media specialist with preparations for the book fair.
Advertise the book fair.
Assist the media specialist with setting up the book fair.
Assist during family events in the book fair.
Assist media specialist in a creating book order from the book fair.
Assist media specialist with repacking inventory after the book fair.
Assist media specialist with final paperwork.

This was a lot fun to teach Lori how to run a book fair. Most people have no idea of the backround knowledge that it takes to set up and run a successful fair. Lori quickly took on the role of the chairperson - hanging posters, creating a letter to go home, creating and building excitement with the students, and working with the volunteers. She learned quickly how important the volunteers positions are and how they are the ones who basically run the fair. She also created a book order of materials our school would keep from the fair. She did her research to make sure whe was keeping new items that would be benficial to the school's collection. Lori also learned the importance of merchandizing the book fair so that it was attractive yet condusive to sales. After closing up the book fair, Lori assisted with the final paperwork to make sure Scholastic was paid in a timely manner.
